KSPMA is currently on the search for a Private Contractor to assume the duties and position of the Association's Executive Director.

The Position “Executive Director” for the Association shall be established by the Board of Directors, which shall determine the job description, remuneration and appropriate budget for the office.

The Association shall provide the Executive Director with the job tools and equipment needed to perform the duties of the Association. This includes but is not limited to: Association Credit Card, Computer, Tablet, Smart Devices, Printers, office supplies, etc.

Responsibilities:

The Association expects the Executive Director to provide leadership, direction and activities as noted in the Association Bylaws, including, but not limited to:
· Management of the Certification Programs and oversight of the Training Director.
· Management of the LPC Service Program and oversight of the LPC Director.
· Management and oversight of Executive Directors office staff and volunteers.
· Management and oversight of the Executive Directors Office Operations including but not limited to:
§ Associations Accounting (Accounts Payable/Accounts Receivable)
§ Associations Website
§ Associations Social Media Sites and Publications
§ Associations On-Line Learning Platform
§ Associations On-Line Forms
§ Associations Membership Program
§ Associations Compliance with Federal and State Regulations
§ Associations Accounting Firm
§ Associations Insurance Requirements
§ Associations Conference Operations (Annual, PD/Energy, and Custodial)
§ Associations Branding Program
§ Associations Contract Negotiations & Execution of Contracts

· Develop Association Meetings Agenda
· Prepare a detailed financial report of incoming and outgoing monies to be reported to the finance committee monthly.
· Maintain a working relationship with KDE, KSBA, KEDC, KPC, KASS, and other educational Associations and the Kentucky Department of Education to foster partnerships.
· Attend National School Plant Management Association Annual Conference
· Maintain a working relationship with other School Plant Management State Associations.
· Travel expenses will be provided to administer the Association’s business, and other approved activities per the budget and travel reimbursement operating procedures approved by the Board of Directors.
· Annually, the Executive Board Committee will forecast potential new or expanded responsibilities or opportunities for the Executive Director, becoming a part of his or her contract; and
· Other duties may be assigned by the Executive Board Committee.

The Association promotes post-secondary education through a Scholarship Program in the various fields of study which make up the broad category of school plant management, with specific skills relating to maintenance, custodial and operation of physical plant. The program is available to high school or GED graduates and School District/Vendor Partner employees desiring to further their skills.

2.2.7.10 Regional Directors:

a. Regional Directors positions shall be elected to represent their specific regions, shall serve for two years, and may serve successive terms, if elected.

b. Communicate with membership within specified region to deliver issues, needs, concerns, improvements, and ideas to support the Association.

c. Attend Board meetings, special Board, and committee meetings, as requested by the President or Executive Director.

d. At Board meetings, special Board, and committee meetings the Regional Director shall cast votes to represent the needs and views expressed of the specified region, and support the mission, vision, and growth of the Association.

e. Encourage potential members within specified region to participate with all Association programs, particularly within the region.

f. Plan and coordinate training seminars within their region with the Training Director.

g. Assist in the planning process of the Annual Conference meeting, by providing suggestions for breakouts, speakers, and vendor partners.

h. Maintain current list of persons involved in plant operations and maintenance throughout their region, both members & potential members.

i. Contact all individuals (either members or non-members) at least twice per year (either by phone, email or letter) to inform of regional meetings, Association objectives and concerns, and upcoming Regional Meetings, Conferences, Workshops, Training Seminars, etc. to garner both repeat membership and new membership.

j. Be knowledgeable of Association bylaws, policies, procedures, and objectives of the Association.

k. Provide a list of vendors and business contacts (names, addresses and phone numbers) that do business in the director’s school district and region to the Assistant Director, as potential vendor members.

l. Attempt to host at least 2 Regional Meetings17 (“meet & greet”) meals with members and potential members, potential vendors in their region, per term, that include Directors and/or staff of the Executive Directors office.

m. Host (provide venue location) for at least 1 Association Training and Education Session per term. The Association shall cover the cost of meals, materials, equipment, etc.

Vendor Representative (2023-2026)

2.2.7.11 Elected Vendor Representatives: Elected Vendor Representatives of the Association’s Board of Directors shall:

a. Attend meetings, training sessions and other KSPMA sponsored activities at no expense to the Association for travel, lodging and food, except for food expenses where it is a group function paid by KSPMA or others.

b. Attend quarterly meetings of the Board of Directors to represent and be the voice of the Vendors.

c. Assist the coordination of all product displays of vendor participation, and vendor -oriented materials for meetings and events of the Association.

d. Encourage and promote vendor participation and support for the Association.

e. Solicit sponsorship for membership, advertising, and other financial support for the Association.

f. Assist in the planning process of the Associations workshops, training sessions, conferences, and other member related activities.

g. Assist Executive Directors Office and staff in vendor setup operations at conferences, workshops, and other planned activities.

Conference Survey Follow Up

Thank you to everyone that took the time to complete our Conference survey. The Board of Directors will review over the results of the survey at the December 8^th Board Meeting. The information provided is invaluable to us and will help make our next event even a bigger success.

Overall, the results showed 4.1 Star Rating Across the Board on all questions asked. The most liked was the networking opportunity, breakfast with the vendors, and quality of the hosting facility.

Tradeshow Area- We realized after we started setting up on Tuesday that the tradeshow area was not ideal. Since we had never hosted at this location, we relied heavily on the venue's staff to help guide us on square footage and table setups. Going forward for the 2022 event, we will open-up the tradeshow area by not having it so “crowded” or packed, now that we fully understand the dynamics of the area.

Breakfast with the vendors- We agree 100% that the breakfast value was not worth $30.00, but honestly it is what the hosting venue charges us per plate for the meal. A quick remedy for those that wanted to eat breakfast and not be charged the $30.00 fee is to join our Association as a member. Part of your membership fee goes to cover meal costs at all events we host. Vendor Membership is only $650.00 per year (January 1^st to December 31^st) and literally can save your company about $1,000.00 in fees.

Wheel of Names Daily Door Prizes- In the future, we will only be spinning the wheel for the attendees that are in the room at the time of the drawing instead of all attendees who checked in that day for the Conference. This will eliminate those that left early and didn’t stay for the daily door prizes.

Thank you for the kind words and recognizing our staff and team members who worked hard at the Conference. The Registration team was Donna, Payton, Lyndzee, and Tiannah. Jeff Fristoe is a Vendor Representative that has been Associated with the Association for several years. Scott Rowland is the Assistant Director and Steve Griebe is the Executive Director.

We look forward to seeing everyone at the Professional Development/Energy Conference that will be hosted at the Center for Rural Development in Somerset, Ky on April 20^th & 21^st 2022. Look for registration links and email blast coming out around the first of January 2022.

LPC Facilitator Openings- Statewide

The Association has immediate openings for LPC Facilitators across the State. Individuals who meet the minimum qualifications and are interested in becoming a LPC Facilitator should apply before February 1st, 2021.

2.2.7.16 Minimum Qualifications for Association Staff^[1]

Applicants applying for Association Staff Positions must meet the following basic requirements:

No Felony Convictions. Must be able to pass a Kentucky State Police Background Check.
No more than 2 traffic violations within the last 36 months
No Domestic Violence records
Must be a Resident of Kentucky
Must have a Valid Kentucky Driver’s License
Must have a cell phone
Must pass a character background screening of at least 3 Personal References
Must be proficient in basic computer skills. Specifically, proficient with Microsoft Office©, Microsoft Excel©, or Google Docs© and Google Sheets©

4 or more years of experience in Kentucky Public Schools Administration/Supervisory Position. (Superintendent, Assistant Superintendent, Principal or Assistant Principal), Director or Assistant Director of Facility Management with experience in an operational environment
Must complete the Associations LPC Training Program with a favorable passing score.

KSPMA announces new Partnership

KSPMA has named Facilitron as the official work orders system for schools in Kentucky.

All county districts will receive special pricing and will be able to access Facilitron’s work orders system as well as their complete facility management platform—including facility scheduling, community requests, contact tracing tools and more.

Facilitron created their work order system especially for school district M&O departments, is easy-to-use, mobile friendly and includes everything in one system—work orders, preventive maintenance, assets and consumables, key management and more. No additional modules or fees.

Implementation is turn-key with no additional setup fees and takes just a few weeks to complete.

Perhaps best of all, the system will automatically create the critical funding-related Kentucky State School Maintenance Reports that districts are required to submit every four years. Also, by utilizing Facilitron as your facility management platform and work order system, KSPMA will be able to aggregate important data on how Kentucky school districts operate to help bring future improvements and benefits to its members.

2020 Annual Conference Golf Scramble

The 2020 Annual Conference Golf Scramble was a hit. With 15 teams and 58 players participating in the event. We raised a total of $ 8,350.00 for the Scholarship Program. This year this event was a net zero cost to the Association. This means that 100% of the money raised will go towards the 2021 Scholarship Program. The Board of Directors meet in Bowling Green, Ky on January 28^th, 2019. Items on the Agenda included:

Tour of the Sloan Convention Center and Holiday Inn Conference Center

Zach and staff of the Convention Center provided the BOD with a tour of the facility and included a sample of food that will be provided at the PD/Energy Conference. The reviews from the Board of Directors were very positive and we are looking forward to the event venue.

Review and first reading of the modified Bylaws

The Bylaw committee submitted an updated copy of the Bylaws that encompassed all the changes that have occurred over the last couple of years. The modified Bylaws can be found here and is scheduled for Full Board vote on June 8^th, 2020.

Review and modification of the Maintenance Technicians/Custodial Worker Conference

At the recommendation of the EDO, the Board of Directors is expanding the Custodial Conference to include Maintenance Technicians and offering 6 hours of Continuing Education for HVAC/Plumbing/Electrical Contractor and Electrician hours. Locations for the 2020 Maintenance Technician/Custodial Worker Conferences include: Paducah, Bowling Green, Nicholasville, Somerset, Florence, and Pikeville.

Regional Training - Powered Industrial Trucks and Mobile Elevated Work Platforms

In announcement with the Regional Directors, the KSPMA will be offering the following courses in all 10 regions over the next 8 months.

Powered Industrial Truck Certification/ Mobile Elevated Work Platforms Certifications

The Powered Industrial Truck (Forklifts) and Mobile Elevated Work Platforms (Aerial Lifts) is an OSHA Mandated employee training course. This one-day session will cover both types of equipment and will be hosted regionally for all members to attend. The cost is $1,500.00 for the day of training and includes all handouts, instructors, certificates, and lunch. The cost can be Divided among the members and each class can hold up to 25 attendees. Executive Directors Office Update

Dear Members,

Financial Officer CEU's- Great News! This week the KSPMA got approved as a Financial Officer CEU Provider. This means we can issue 6 hours of Continuing Education to Finance Officers. For those Facility Managers coming to the conference, reach out to your Districts Financial Officer and have them tag along and pickup 6 CEU's for attending.

2020 Annual State Conference Venue- after careful consideration, results of the membership survey on venue location, the KSPMA will be hosting the 2020 Conference at the Embassy Suites in Lexington, KY.

Conference Registration- We have 180 Registered attendees, speakers, and guest as of noon today. Spoke with several school districts that will be registering more attendees come next week with the assistance of the EDO. We expect that number to jump to over 230 by Wednesday next week.

Region 1, 3 and 5 Nominations are now being accepted

The EDO opened up the nomination/application form for Region 1, 3, & 5.

Members are encouraged to apply if they would like to serve on the KSPMA Board of Directors. The term is for two consecutive years and requires the following:

Support from your Employer
Travel to attend the Board Meetings within the Commonwealth of Kentucky
Must be a member of the KSPMA in good standing.

Full Details of the Position:

ARTICLE IX – REGIONAL DIRECTORS

Regional Directors Positions shall be elected to represent their specific regions, shall serve for two years, and may serve successive terms, if elected.

Region 9 & 10 Directors may serve consecutive terms. The Superintendent, or their designee, of Fayette and Jefferson County school districts shall appoint individuals to serve, representing the Fayette County, Region 9, and Jefferson County, Region 10, school districts. If one of these directors become inactive, the Executive Director will contact the district for a replacement.

Regional Directors:

Communicate with membership within specified region to deliver issues, needs, concerns, improvements and ideas to support the Association.
Attend Board meetings, special Board and committee meetings, as requested by the President or Executive Director.
At Board meetings, special Board and committee meetings the Regional Director shall cast votes to represent the needs and views expressed of the specified region, and support the mission, vision, and growth of KSPMA.
Encourage potential members within specified region to participate with all KSPMA programs, particularly within the region.
Plan and coordinate training seminars within their region and notify Training Director of date and time.
Assist in the planning process of the Annual Conference meeting, by providing breakout session suggestions.
Maintain current list of persons involved in plant operations and maintenance throughout their region, both members & potential members, to include post-secondary education facilities.
Contact all individuals (either members or non-members) at least twice per year (either by phone, email or letter) to inform of regional meetings, KSPMA objectives and concerns, and upcoming Annual Conference Meeting to garner both repeat membership and new membership.
Be knowledgeable of KSPMA bylaws and objectives of the KSPMA.
Provide a list of vendors and business contacts (names, addresses and phone numbers) that do business in director’s school district and region to the Executive Director, as potential vendor members.
Utilize the funds made available to have “meet & greet” meals with members and potential members in their region.

EDO Picks Wild Apricot as Membership Management Software and hosting platform

The EDO team spent weeks reviewing, interviewing, and filtering a robust Membership solution for the Associations needs. Today the Executive Director made the final selection on Wild Apricot by Personify. Over the next couple of weeks the EDO team will be spending countless hours doing the data entry and programming the system. Experts at Wild Apricot say it should take roughly around 80 to 100 man-hours to get the site and Management Software fully functional for our members.

Spangler Entertainments "Extreme Horse Racing" is coming to the 30th State Conference

The EDO working under the direction of President Greg Adams was able to find an alternative to the Monte' Carlo entertainment. Several attendees and Board Members felt that Monte' Carlo night had run its course over the years and our Association was in dire need of a change.

This year for our 30th Anniversary year, Spangler Entertainment will be providing "Extreme Horse Racing" in Coldstream 4/5. "Extreme Horse Racing" will give our attendees a chance to win big bucks for the prizes being given away at this years conference. You can click the link and view the YouTube video of how it works. In addition to Extreme Horse Racing, we will have a money box, magic photo booth, and guest appearance of Barney Fife impersonator Rik Roberts.

2019 AEE World Conference and Expo “Defining a New Energy Future” held on September 25-27 at the Walter E. Washington Convention Center in Washington, D.C.

This event is hosted by; The Association of Energy Engineers, AEE

Terry will demonstrate proven results of the high performance Energy Savings program,

The Juice Krew Energy Program he utilized in Kentucky schools and districts.

Salyer’s The Juice Krew Energy Program will also be published by the AEE World Conference as well
